Easy-to-use software solution streamlines procedures and saves costs

Companies can realize significant cost savings through enhanced purchase requisitioning procedures with the launch of SunSystems i2i Purchase Requisitioning v1.4.

The new version of the offering works with the purchasing modules of the core SunSystems products, a leading financial and business management software solution for international and domestic organizations. SunSystems i2i Purchase Requisitioning is fully web-enabled and written in J2EE language, using the Internet or intranets for speed of operation, irrespective of geographic locations of different users. By streamlining procedures, administration can be made more efficient, saving money.

Staff will find that providing all the correct information in the right place is straightforward. The result is that costs can be scrutinized centrally and reduced by identifying potential for sole supplier agreements and eradicating maverick purchases by staff using unapproved suppliers. This can be particularly beneficial to organizations that operate in several countries and want to decrease their central overheads.

Designed for ease-of-use - and therefore minimal training - the software solution provides real-time, on-screen progress tracking so that each user can check progress from their own perspective, based upon level of authority. Thus, any employee that uses the system and their line managers plus purchasing officers and the members of the finance team would each see different information on their respective PC screens.

The system can be set up to automatically notify each person involved as a purchase order progresses along the chain of command. Indeed, the software solution is highly configurable to ensure it fits a company's existing procedures, rather than forcing a customer to change its protocols.

And if things go wrong, SunSystems i2i Purchase Requisitioning provides a full audit trail to show who approved what and when. It also provides statistics on issue areas, such as who regularly takes a long time to approve or reject a requisition.

SunSystems i2i Purchase Requisitioning includes the best-in-class ILOG JRules rules engine that routes requisitions along the right authorization path based upon user-defined parameters. This means that, for example, recruitment requests are passed to HR or computer requirements go to IT. In addition, it checks existing budget balances to ensure there are no unexpected overspends based upon actual (already spent), commitments (work underway but not invoiced) and soft commitments (work has yet to start).
